Copilot doesn’t create security gaps. It reveals existing ones.
That’s an important distinction. Copilot only shows employees what they already have access to. However, in many organizations, that access is more extensive than people think. An HR folder open to the entire organization. A link “anyone with the link” to a contract. An old project team with two hundred members.
Previously, no one found those files. With Copilot, you find them with one question.
Where is oversharing most common?
- Sites with “Everyone except external users”. Once convenient, now a risk.
- Share links that never expire. Especially links that work for everyone.
- Teams and groups without owners. No one feels responsible.
- Old project sites. The project is over, but the permissions remain.
- OneDrive folders widely shared. Often without the owner’s knowledge.
How to address it
- Map it out. With reports in SharePoint Advanced Management, you can see which sites are widely shared and where many share links are.
- Start with sensitive areas. HR, finance, executives, and legal first.
- Have owners review access. Site owners know their content best. Ask them to check access.
- Label sensitive information. With sensitivity labels from Microsoft Purview, protection is embedded in the document itself, wherever it is.
- Temporarily exclude what’s not ready. You can temporarily exclude certain sites from Copilot search results while you clean up.
Don’t make it a one-time clean-up
Oversharing returns as soon as you stop paying attention. Therefore, agree on:
- Who may create new teams and sites.
- That each site has at least two owners.
- That share links default to specific people only.
- That access is periodically reviewed.
It doesn’t have to be perfect
You don’t need to have everything cleaned up before starting with Copilot. Begin with a pilot group and address the biggest risks in the meantime. Waiting until everything is perfect often means: never starting.
Copilot as a catalyst
See Copilot not as a problem but as a catalyst. Cleaned-up permissions are good for your security and compliance anyway. Copilot only highlights the urgency.

Frequently Asked Questions
Does Copilot see files I don’t have access to?
No. Copilot respects existing permissions. The problem is that these permissions are often broader than intended.
Do I need to delete all old sites?
Not necessarily. Archiving or restricting access is often sufficient.
What is SharePoint Advanced Management?
A set of management tools for SharePoint and OneDrive including reports on access and sharing. It is included with Microsoft 365 Copilot licenses.
